Bubbles, Branding & Events Every now and again here at the VIBE Agency, we like to share cool products on our blog. Today is one of those occasions.

Have you seen these cool video balloons? They are so cool! We have many, many possibilities swirling around in our heads of how we can use these in our events. They are easy to install, and show either high quality video or even live event video. You can use either one or two screens. They can be either air inflated or filled with helium. What a great décor and messaging element that can brand an event in unusual way. They require little manpower and support all video formats. They are anti-fire and come in many different colors and sizes. If that’s not enough, you can use them with animated LED’s as well. Wow!!!!

Celebrate Good Times – Come on!

We’ve covered some pretty serious topics in the past few weeks. While it’s important to keep on top of everything to run our businesses successfully, we also must remember to stop and soak in all that we’ve accomplished.  Far too often we rush from one project to the next, push our business forward, work our teams even harder and worry non-stop to make sure all the bases are covered.  It’s easy to forget about celebrating.   While we are professionals at creating celebrations for others, what about our own achievements?  STOP RIGHT THERE!  It’s time to take a breath and bask in the glory for a moment.

Recently, we received this thank you letter from a client, and not only did it energize us, but it gave us a taste of that glorious rush that comes with a great sense of accomplishment (not to mention it made our tired and achy feet feel SO much better)!

TEN COST SAVINGS TIPS FOR MEETING PLANNERS

 The moody economy has left corporate meeting planners looking for ways to save money at every turn. With some careful planning, research and history, there are many ways to cut back and save. Using just a couple of these tips can help you save a substantial amount of money.

  1.  Use local destinations or second tier cities that will offer you more for your money.
  2. Know the value of your business.  If you keep a detailed history of your prior events, you can more easily negotiate based on historical figures.
  3. Negotiate volume discounts. 
  4. Ask for everything you want right up front.  Don’t use the trickle effect.  Let your suppliers see the whole picture up front so they can provide you with best price.
  5. Make sure the cancellation clause is reciprocal.
  6. Hire on site staffs locally for registration and production assistants rather than paying for travel and rooms.
  7. Order as much as possible on consumption and build up your F & B minimums with on-site meals and functions. 
  8. Use versatile entertainment acts. 
  9. Check out high and low season rates.  Often times you can juggle your program to avoid the higher cost if it’s not right in the middle of tourist season.
  10. Lock in pricing early. 

And lastly, don’t be afraid to negotiate.  Of course there are many, many additional ways to lower costs in your program…but if you think strategically finding ways to do it become easier and the list becomes longer.

Memorial Day

Memorial Day is a United States federal holiday observed on the last Monday of May (May 31 in 2010). Formerly known as Decoration Day, it commemorates U.S. soldiers who died while in the military service. First enacted to honor Union soldiers of the American Civil War (it is celebrated near the day of reunification after the Civil War), it was expanded after World War I to honor dead Americans from all wars.


From all of us at The Vibe Agency – a heartfelt thank you to all  soldiers that have fought and still fight daily to protect our freedoms!

Is the Florida Adventure Drying Up? NOT!

As one of the premiere attractions for groups spending time in Florida, the Everglades National Park has always held a pull of adventure and mystique.  But, with a lack of water and the severe drought we are experiencing, it has made the popular airboat tours and adventures all but impossible to offer to clients.  So what do we do?

While we are all busy doing ‘nekkid’ rain dances at the Vibe Agency and praying for the return of the airboat tours in full force, we have alternative tours to offer to clients. You can still get up close and personal with native wildlife, and experience the thrill of an airboat ride, you just have to know how to go about it.  And, we know how!!!

Are you ready?  Good.  Time to buckle up for some adventure and fun!  Let us help you create a tour that will put the thrill of adventure back into your program. Check these ideas out!

Adventure Option 1

Our first stop at the edge of the Everglades will be a remote, old-fashioned, roadside fruit stand, entertainment venue and watering hole – “Robert is Here.”  This storied roadside attraction is a popular Everglades family destination. Locals order at the counter, pick up their hand-made milkshakes and shop amidst the hustle and bustle and the various exotic animals on location.

Then we are off to experience a hike at the famous Anhinga Trail at the Royal Palm area of Everglades National Park. Follow the trails and boardwalks to get a close-up view of wild gators, turtles, Roseate Spoonbills and abounding varieties of wading birds and aquatic species.  The Anhinga Trail was so beautiful and indicative of the Everglades that a group of women petitioned for its protection as a state park in the early 20th Century.  This state park was the genesis of the Everglades National Park established in 1947.

This tour is breathtaking in scope and engaging in detail.  It will reward us with an intimate look at “another Florida”, off the beaten path, little known and charming.  The mixture of Florida’s legendary Everglades with rural and agricultural institutions makes a perfect case for promoting the various “watering holes” of our region.

Adventure Option 2

From the moment you arrive in the too quaint fishing village of Goodland, your senses are wide awake; a small fleet of working fish boats line the tiny harbor; three prominent seafood restaurants vie for your business; (one, the vintage 1869 Old Marco Lodge moved there by barge); little cottages occupy the small grid of streets.  When you step onboard the airboat, you can catch the strong, salty smell of a place that lives on nautical terms.  Departing from the village into the shallow, open, sun-dappled bay, we prepare to pass through “Hell’s Gate” into the maze of islands at the bottom of Southwest Florida’s official civilization demarcation.

Following the Black River as it winds through these islands, we will watch for dolphins, manatees, wading birds, and raptors.  Slipping down Smuggler’s Creek, we may find one of the elusive American Crocodiles that inhabit these waters.  A special treat would be to see some of the rare Roseate Spoonbills that feed in the shallows.  Oftentimes mistaken for flamingos, these brilliantly pink-feathered birds have started a remarkable recovery in this area.

 The 10,000 Islands have been witness to powerful Indian nations, Spanish shipwrecks, pirates and murderous outlaws.  “Bloody” Ed Watson still haunts these backwaters in the long tales of pioneer fishing families.  Still considered the wildest, most unknown place in America, the 10,000 Islands is a good example of time uninterrupted.

Unconventional Conventions

We’ve all walked onto the tradeshow floor at a convention and been overwhelmed by the task of walking the whole floor and absorbing everything that’s there.  There’s only so much time that we have during limited time we to spend on the floor engaged in productive conversation with the exhibitors in addition to the educational seminars, events, off-shoot business meetings and company gatherings that we have to attend. 

In addition, for the exhibitors, the costs of hosting a booth can be astronomical in the design, set up, labor and staffing depending on the tier and city the convention is hosted in.   The conversion of contacts to sales to demonstrate a profitable return on investment can be elusive.   It may even be a losing proposition for smaller companies (and even some of the larger ones) when trying to maximize marketing budgets.

In the shadow of the “new” economy, we’ve found that many companies are looking for new ways to make productive contact with potential clients and begin constructive relationship building.  Will the traditional tradeshow booth fall as companies find more creative and economical ways to spend quality time with potential and established clients?  We think not, but there is alternative.

Clients are becoming more and more interested in creating alternate avenues to meet with their clients.  Chaotic tradeshow floors make it hard to really connect meaningfully with clients. How many times have you found yourself saying, “Do you want to slip away for coffee so we can talk?” Cocktail parties in the aisle of the convention centers offer equally low quality opportunities. Let’s face it, it really doesn’t matter what booth you’re in when the 5PM cocktails roll out, it’s all free and it’s hectic!  There’s no experience attached with the contact, nothing that can really set you apart from your competition in the next booth.  There’s only so much creativity that can happen within the confines of the limited square footage of an exhibitor booth.  Add in the policies and restrictions of the venue itself, and bam, you’re stuck on main street with everyone else.  Are you ready to try a different approach?

Recently, we had a client that decided to take a risk and do something different.  Instead of renting a booth at the tradeshow, they rented a mansion for three days, provided transportation, invited potential clients to a private presentation, met with them, engaged, and then at the end of the day, held a private cocktail party for the guests to enjoy and continue networking with key members of the team.

In addition, the last day of the convention, the company kept their team for an internal sales meeting to discuss and define how the alternative approach worked for them.  The feedback was positive – from both the potential clients AND the sales team. 

The team felt that choosing a different way to do things set them apart from their competitors, provided opportunity for meaningful and productive conversation and enabled them to really relationship build with their prospective client. It allowed them to remain focused on the goal at hand without all the chaotic distraction.   They didn’t have as many cold touch points in numbers but the conversion for sales actually increased because the people they were talking to were qualified prospects.  Not all companies can work this way, but in this circumstance it made sense and the return on investment proved immediate.

In addition, the expense for this particular company to try something different was considerably less, even with having to provide transportation to and from the convention center and hotels and providing high end food and beverage.  The mansion was branded in creative ways to make the property their own.  It left an indelible impression and clients were so appreciative of the focused time the company was able to give them.  Making an impression and moving the conversation forward?  Check.

Another company, used the ICEBAR Orlando for their tradeshow space which is within walking distance of the Orange County Convention Center and the convention hotels like the Peabody and Rosen Plaza, again creating an opportunity to communicate that was different from the tradeshow floor, yet still easy for convention attendees to get to and spend some quality time getting to know a potential supplier.  (Watch for an upcoming blog in the next few days on this FABULOUS venue for events!) Again, the ICEBAR became a uniquely branded space that fit the company perfectly while providing a different experience from that of a traditional tradeshow.

While these are just a couple examples, the surrounding areas of convention centers often hold hidden treasures for developing and implementing a very strategic approach to convention visibility and client attraction and retention. Is it a trend?  We think perhaps it is, and if so, it’s a smart one.  Do we think it will take the world by storm?  Maybe not, because then there would be no purpose in having a convention at all.  Gathering like-minded people and businesses in one place to share ideas and strategize business is invaluable. However, for the discerning client that wants to capitalize on their marketing budgets, set themselves apart from their competition and capture and engage potential clients, this ideology certainly shows huge promise.

Looky, Looky, Check Out Our New Facebook!
