It’s that time of year again when cabin fever is taking over and we are begging to be outside in the beautiful weather, hanging out with friends, BBQing, swimming, bike riding…and yes, the quintessential company summer picnic.  If you haven’t started planning, don’t wait another minute.  It’s time to get moving.

Here are some ideas that to help you as you begin planning:

Like any other type of event, you need to decide what you want your picnic to be like and how much you want to spend.  Budget dictates agenda and we have ideas to match.  Some like a high-end soiree with décor, and others like to have a more traditional, apple pie and baseball type day.  One of the most effective things that you can do is to poll the guests to find out what they would like to experience at the picnic and then plan around that.  With Survey Monkey, it’s easy to put together a quick poll and get feedback (just ask us how).  You can even incentivize responses by holding a drawing for a special activity or treat for the winner and their family at a water park or other fun activity that they can do locally during the summer months.  It’s important to get people engaged and excited.

Allow yourself sufficient time to book your venue if the picnic is offsite from the office parking lot (yes, some companies have them in the parking lot – we know how to make that fun too). Parks and softball fields fill up quickly and can be hard to find with the right parameters for your event.  In addition, employees need time to plan the date into their summer schedule.  This is certainly paramount if you are inviting the entire family to the event as they will have summer activities like swimming lessons and softball tournaments etc to work around.  In addition, always think about a rain contingency if you live in an area that is prone to summer storms.  If you think about it before hand, it doesn’t have to be an emergency later.

You’ll need to plan food and beverages, and activities and sometimes entertainment .  Understand who your audience is and what they like to do.  This is again where the survey comes into play.  With money being tight these days, you want to make sure that every dollar you spend is efficient and will be utilized by the guests attending.  There’s nothing wrong with hot dogs and hamburgers.  The menu doesn’t have to be extensive to be effective.  Get a count so that you know how many people to provide food for.  Don’t just plan on the number of invitees and then have too much or not enough food.
