A Fabulous International Wedding!

What better way to wrap up our summer business, than with a wedding! This event was quick and happened within a matter a three days. We love throwing weddings here at the VIBE. With these special clients all the way from France , we made no exceptions.

Tips on Throwing a quick and savvy international wedding

Before

1. Confirm hotel reservations and venue

2.Contact your city official and make sure you get all the information needed for when your bride and groom arrive to make their ceremony legal.

Day 1

1. Go with clients and check out the venue

2.If they don’t have their clothing for the big day , make sure to create a list of places where you can take them when they arrive

3. Book  hair and make-up before they arrive

4.  Book  hair and make-up and  mani/pedi

5. Set meeting to finalize music selection and also decor for on location

6. Inform the florist of decisions and make sure they are efficient at a last minute notice!

Day 2

1. Finalize working agenda for the day of

2.Pick-up dress and suit

3. Check with catering at hotel make sure everything is still running perfect

4. Finalize and confirm: flowers, venue set-up, sound system, photographer

Day3

1. Big Day ! just be on top of everything you got it!

2. Remember to relax!!!!

Always on the go in this industry…Things I’ve learned on the way that may help you out with your next jet-setting travels.

Shipping luggage:

  • Pros
    • you don’t have to worry about anything on the plane or luggage check
    • quicker check in time
    • less hassle at the security check points
    • save money and frustration at gates

      • setting up times and locations for shipping your luggage
        • in new places it is not always easy to get around and figure out how to get in contact with shipping company’s
        • you don’t want to spend time on the phone when you could be out at the pool enjoying your vacation

Taking luggage on the plane

  • count the days you will be gone and imagine what your trip is about take the essentials make sure that you bring appropriate articles of clothing and shoes for the trip. It is okay to take one outfit for a just in case or unplanned event but make sure that you don’t over load on things you probably and might not use
  • try to plan your outfits in advance and try to limit yourself with shoes and hand bags (for the ladies).  try to take as many universal shoes as possible, they take up space and extra weight that you can use to able to take more cloths or bring back souvenirs from your destination.
  • watch the weather of your destination
  • wear your bulkiest outfit in order to save some space in your luggage
  • avoid over-packing bulky items

  • anything with wheels
    • this makes it easy to take anywhere and avoid the hassle of having to carry or rent carts for luggage that sometimes are sold out or hard to find during peak hours
    • different patterns and colors VS black luggage
      • Many times a large amount of people always have the same and close to similar bag colors. When at the carousel sometimes mistake yours for theirs since they are similar. avoid the hassle and purchase different colors. If that is not an option, decorate them with a pretty ribbon to easily distinguish them

tips to avoid airport security issues with luggage


  • For carry-on luggage
    • Buy no more than 3 3oz. plastic containers for your carry on must haves to avoid security issues
    • make sure you read TSA’s safety regulations as you are packing
      • they are constantly changing their rules and regulations, it is better to be safe as you are packing before you have to throw something away or have to wait an extra time for another security check.
      • Reminder
        • take comfortable shoes that are easy to take off and put back on at the security check
        • make sure passenger brings no more luggage than is allowed as a carry on and is not heavy (the placing of the over head bin and the limited space they provide you with, especially in a full plane)
        • try to avoid jewelry and items in your pockets that will set off the alarm.
        • make sure that you have your boarding pass and passport/ID at hand when reaching the TSA attendant

So maybe next time you’re getting ready for a trip you’ll get with the VIBE of things and be prepared for your next trip to the airport.

Mother’s Day Tips and Ideas Recap

Mother’s Day always seams to catch people off guard or we’re all just procrastinators. Walking into a Walgreen and CVS yesterday was a disaster…all of the cards were pretty much cleaned right off the displays and Publix the lines were around the corner should we say.

We put together some tips that you can do for your mother next year. Here are some cool products that we thought you might like to indulge  your mother in  and of course the best spa  recommendations in town. Pull out the pen and paper because you’re going to want to remember these for next year!

Call us crazy, but although we live in paradise, there are times we want to escape the Miami scene. It’s always fast paced and hot, so for this last Mother’s Day theme, we’re leaving Miami… leaving South Florida all together… and heading to a slower, calmer place, one where mom can relax – Cape Cod.  Why not transform your home into a “Cape Cod Cottage” for an afternoon?

To achieve this classic New England country chic look, think stripes. Dress the table with yellow and white stripes, green, blue and white, pastels, etc.  Use napkins in the same colors that contrast – or mix and match.  Use big thick mugs, cobalt blue, lemon yellow, orange and white plates.  For a centerpiece, this one we want to try to keep it light and nautical. Place fresh cut wildflowers, try daisies or small sunflowers, in rustic metal pails.  Or you can even spread out sand on table, add plenty of pretty seashells, and lay some candles in the sand.

As for food… with so many potential seafood options, where do we start?? Let’s start by whipping up some classic “boil” shrimp appetizers, some small blue crabs to pick at and corn on the cob! Now I know what you’re thinking, where’s the clam chowder? Fear not, we found a simple recipe to make the famous New England Clam Chowder, which can seem intimidating to make—but isn’t!

New England Clam Chowder

slices bacon, diced

1 1/2 cups chopped onion

1 1/2 cups water

4 cups peeled and cubed potatoes

1 1/2 teaspoons salt

ground black pepper to taste

3 cups half-and-half

3 tablespoons butter

2 (10 ounce) cans minced clams

Directions

1.  Place diced bacon in large stock pot over medium-high heat. Cook until almost crisp; add onions, and cook 5 minutes. Stir in water and potatoes, and season with salt and pepper. Bring to a boil, and cook uncovered for 15 minutes, or until potatoes are fork tender.

2. Pour in half-and-half, and add butter. Drain clams, reserving clam liquid; stir clams and 1/2 of the clam liquid into the soup. Cook for about 5 minutes, or until heated through. Do not allow to boil.

Champagne on a Beer Budget

Yes, it is possible to cut costs for events and still have a lavish touch according to Lindsay Krause of Special D Events.  We rightfully agree.  Check out a combination of her tips combined with a few we researched.

1)      Use local destinations or smaller cities that can offer you more for your money.

2)      Switch from a dinner event to a lunch or from a lunch to a breakfast meeting.

3)      Limit authorization.  Only key people should have the ability to increase food and beverage orders on site.

4)      Communicate your budget information to the convention services manager. His or her role is to work with you.

5)      Provide cocktail napkins verses small plates at receptions to reduce consumption

6)      Always budget at least 10 percent of your expenses as “contingency.” This will take care of unforeseen costs such as – labor strikes – bad weather – overtime – extra postage and mailings – phone and computer hookups – cancellation insurance – speaker substitutions.

7)      Instead of a full open bar, offer just beer and wine or soft drinks.  Also consider one signature cocktail.

8)      Learn the tax laws for both your organization’s location and the location of your event. You could be eligible for tax breaks that you aren’t claiming.

9)       Develop long-term relationships with properties and chains you use often. Negotiate volume discounts.

10)  Hire now. Speakers and entertainers often raise their rates every year. Lock in at this year’s rates.

11)  Order as much as possible “by consumption.” Uneaten food and drink can be returned and not charged. This works well with soda and packaged foods like potato chips.

12)  Offer water stations or pitchers of waters on the tables’ verses water bottles.

13)  Ask which other groups are using the hotel at the same time. You may be able to have the same menu, thereby gaining economies of scale that can be passed on in cost savings to you.

14)  Avoid salty foods during receptions, as they encourage people to drink more.

Ways to Green Your Gift Wrapping

Have you ever looked at your trashcan after everyone has opened all of their gifts during the holiday season?  Just one look and you have to admit it is an awful amount of garbage.  This year consider the following ideas as you wrap each gift.

Everyone knows that green is the new black, but not everyone knows how to put a green touch to their holidays.  We did some research and found so many creative ideas. 

1) First, lets explore the Wrap Sack.  They have unique reusable gift bags that come in six different sizes.  The best part about these drawstring gift bags, is that they come with a tracking number which allows you to track the history of your wrap sack!

2) Aside from the gift bag, Wrap Sack offers reusable greeting cards.  You simply replace the sheet inside when you are ready to reuse it.

3) An eco-friendly way to gift wrap is to make your own by using left over fabric or old sheets.  Chewing the Cud offers reusable fabric gift wraps; each one with a gesture of giving: Give Love, Give Luck, Give Wisdom.

4)  Wrap a gift with a gift.  For example, you may purchase a scarf or decorative towel and then use it to wrap a bottle of wine.  Or a coffee cup or canister to hold another gift such as jewelry.

5)  Shuffle through old magazines, maps, calendars and newspapers  throughout the house and select pictures that connect with the personality of the person whom you have bought a gift for.  If that person is a traveler, use an old map to wrap their gift!

6)  The comic section of the newspaper is an old idea but works wonders. 

7)  Place your gift inside of a tote or insulated grocery bag.  Both of these items will be reused over and over!

8)  For bows, switch to reusable hair ribbons or flowers.  Take a walk outside or at your local park.  You will find true beauties from our very own land such as pinecones, acorn, changing color leaves and so on.

Open Letter

I recently read an open letter blog from a dear friend, Marley Majcher, and I was deeply moved.  The letter was addressed to all of her family members, friends and staff where she discussed her dilemma about returning phone calls or emails. 

 I am riding on that same boat with Majcher.  This year has been full of new challenges including time management.  I am not complaining; I feel fortunate and honored to have met each and every person in my life.  Sometimes, day to day responsibilities take the very best of us, leaving little or no time to show those special people in our lives how much we value and appreciate their friendship.  I would like to take this time to dedicate this blog to all of my family, friends, clients and employees. 

 Yesterday was my birthday and I was surprised at the recognition I received from so many people across the world.  Words can not explain how touched and happy I feel to have so many great people in my life.  On important dates such as a birthday, you realize who your true friends are and what is important in life.  All of these events have been an eye opener for me. 

 I am indebt to so many emails, Facebook comments and phone calls.  I thank everyone for making my day so special.  The best gift I have received is to have met all of you and the special memories that have come along with our friendship.  I hold each of you close to my heart and I appreciate all of the love and support.

 Thank you to my husband, who has shown dedicated support throughout our time together.  Thanks for my unforgettable birthday setup and thank you for being an amazing irreplaceable father and husband.

Last Minute Thanksgiving

Thanksgiving is in two days and if you are hosting a dinner and have just realized the little time you have to plan, never fear!  The Vibe Agency is here to give you a few quick tips to add to your festive dinner.

Each year on the fourth Thursday of November, Americans celebrate Thanksgiving Day.  It is a time for families, friends and relatives to gather for a grand dinner and give thanks for all of their blessings.  

In 1621, the Plymouth colonists and Wampanoag Indians shared an autumn harvest feast which is acknowledged today as one of the first Thanksgiving celebrations in the colonies.   

Here are some last minute ideas:

  

Thanksgiving should reflect elegance.  Show off your style by adding arts and crafts to your table.  Print out these place cards and add a rustic touch by cutting slits into wine corks and wedging the place card into place.

For center pieces think autumn colors; orange, yellow, and brown.  Use whatever orange vegetables or fruits you can find; pumpkins, carrots, persimmons, oranges etc. Use a basket to hold fruits and veggies then add pinecones to complete rustic look.  Combine all elements and play with arrangement until you find the perfect fit for your center piece.  Add pumkin colored candles into a clear candle holder and place around your center piece.

Jennifer Savica, TD Bank’s vice president of event management, rewards her staff with little perks throughout the year, like taking everyone out for ice cream in the summer, treating people to their favorite drinks at Starbucks on a cold day, and occasionally allowing casual Fridays. “I try to show appreciation for my team every day by creating a true democracy—asking their opinions, including them in many of the department decisions, and empowering them to do their job,” she says.

Boston Beer Company has a gift policy that prevents employees from keeping items valued over $10 given to them by clients and event sponsors. “If someone gets something over that amount, we raffle it off to the office as a thank you,” says Kristen Smith, the company’s travel and event planner. Past items have included tickets to charity events the company has sponsored, movie screenings, and Red Sox tickets. “It’s nice to raffle these things off and make them available to anyone—and at no cost to the company,” says Smith.
